Clock Out privacy policy
Last updated October 17, 2026
Clock Out is a product of Mindful Solutions LLC ("we", "us"). Employers use it so their staff can clock in and out of
work. You clock in by tapping your phone on the tag at work, and you're clocked out automatically when you leave.
Your hours are recorded in Rippling, your employer's HR and payroll system. This policy explains what the app
collects, why, and who sees it.
What we collect
- Your Rippling profile basics: your name, work email, and Rippling IDs, so we can sign you in and record
time against your record.
- Sign-in details: the email address you enter and a one-time code. We store codes only in a scrambled
(hashed) form, and they expire after 10 minutes. The app also creates a random ID for each installation, which
keeps you signed in.
- Clock-ins: when you tap a tag at work, or clock in from a reminder or for a scheduled shift, we record
the time, the location, the job it's for, and how you clocked in.
- Location near your workplace, while you're signed in: the app asks your phone to let it know when you
arrive at or leave one of your employer's locations (a "geofence" around each one). When that happens, the app
sends us whether you arrived or left, which location, the time, and your phone's location at that moment. We use
it to remind you to clock in, to clock you in for a shift that's scheduled in Rippling, and to clock you out when
you leave. The app doesn't track your route, and we don't learn where you are away from your workplace. It may
run in the background, even when the app is closed.
- Your schedule: we read the shifts scheduled for you in Rippling, to clock you in when you arrive for
one.
- Notifications: if you allow them, the app gives us a push token for your phone, so we can send you
reminders to clock in and tell you when you were clocked in or out automatically.
- Server logs: like most online services, our servers log requests (including IP addresses) for
security and troubleshooting.
How we use it
Only to record your clock-ins and clock-outs in Rippling, to remind you about them, and to correct them. We don't
use it for advertising. We don't sell it. The app has no third-party analytics or tracking.
Who sees it
- Your employer, in Rippling: your time entries are created there. Managers and payroll see them in
Rippling, just as they do for time entered any other way.
- Service providers that run Clock Out for us: Amazon Web Services (hosting, database, and sign-in
emails) and Expo (delivers notifications to Apple and Google's notification services). They process data only to
provide those services.
- Authorized Mindful Solutions LLC staff who run Clock Out, when they need to fix a problem with your time.
We don't share it with anyone else, unless the law requires it.
How we protect it
Data travels between the app, our servers, and Rippling over encrypted connections, and our database is
encrypted at rest. Sign-in codes are stored only in hashed form. Your phone never holds a Rippling password or
key; only our servers talk to Rippling.
How long we keep it
Your time entries live in Rippling and follow your employer's payroll record-keeping policies. In the app's own
records, locations are deleted after 90 days and sign-in codes after a day. Other records
(clock-in and clock-out times) are kept as long as they're needed for payroll and legal purposes.
Your choices
- You can turn off location access for Clock Out at any time in your phone's settings. Arrival reminders and
automatic clock-in and clock-out then stop working, and you'll need to correct your time in Rippling.
- You can turn off Clock Out's notifications in your phone's settings.
- Signing out of the app stops it from monitoring your workplace's areas and sending you notifications on that
phone.
- To ask what we hold about you, or to have it deleted, contact info@clockout.work. Records that payroll law requires us
to keep, such as your hours in Rippling, aren't deleted.
